Netsuite Tips and Tricks: How to Manage Bounced Email in Netsuite?

Hi All,

I started this blog to help Netsuite community by providing tricks, tips , code and logic etc. I hope many of you like these post. I can see people from many countries are visiting my blog and I am very much thankful for that.

Netsuite has functionality to manage Email Bounce automatically . Few are the features which I want to explain in this Feature:

Hard Bounce:
           One of the most important ways a marketer can develop a positive sender reputation is by avoiding sending email to invalid email addresses. To help with this, Netsuite tracks when an email message is returned due to invalid address. This is known as a hard bounce.

In addition to keeping track of hard bounced email addresses , NetSuite tracks any address that has hard bounced from any email sent from Netsuite including transactional email.

We can choose how long the bounce history of an email address is maintained . In the field marked Remove Email Addresses From Bounced Email Address List After, enter the number of days you want to keep copies of bounced email addresses on the bounce list for.

You can use the search field Hard Bounced to filter recipients with invalid email addresses from your marketing groups.

You can view and manage the list of hard bounced email addresses at Lists > Relationships > Bounced Email Addresses.

Undelivered Emails, helps account administrators analyze email deliverability problems.

The Reason, or root cause, of a specific error might indicate that:
  • The sending rate is not accurate or is too high (similar email messages being sent too rapidly)
  • There are problems due to specific SMTP (Simple Mail Transfer Protocol) error states
  • A message that was blocked because the recipient address was already present on the Bounced Email Addresses list
  • There are DMARC compliance problems (SPF or DKIM settings)
 Please let me know if you have any issue with bounce email or want to understand more about these.
Remove any bounce email address from list if you find one.

Thanks
Abhi

  1. Can you give me more information on how you can determine if: The sending rate is not accurate or is too high (similar email messages being sent too rapidly)? And how to resolve it?

    1. Hi ,
      There are 2 ways to find
      1. Delivered Emails
      2. Undelivered Emails
      Lets me tell you about "Undelivered Emails" , make a saved search on "Undelivered Emails" and add reason in the column field. There you can find the possible reason
      Now 1st point, if you want to see how many emails are going , make a saved search on Message record and you can see all messages.
      Now how to solve : I believe fix the record based on error, like if any email id is wrong then correct that email id

      Error --> Description
      Not sent:Blocked by mail filter -->
      The sending rate is not accurate or is too high (similar email messages are being sent too rapidly).

      Not sent:Specific address(es) recently bounced-->
      The email was not sent because the recipient address appears on the Bounced Email Addresses list.

      Permanent Failure:Delivery not authorized, message refused -->
      The sender is not authorized to send to the destination. This can be the result of per-host or per-recipient filtering.

      Permanent Failure:No answer from host -->
      The outbound connection attempt was not answered.

      Permanent Failure: Bad destination mailbox address-->
      The mailbox specified in the address does not exist.

      Permanent Failure: Unable to route-->
      The mail system was unable to determine the next hop for the message because the necessary routing information was unavailable from the directory server.

      Permanent Failure: Mailbox disabled, not accepting messages-->
      The mailbox exists, but is not accepting messages.

  2. There are undelivered emails in netsuite and "Please check your DMARC related configuration" error is coming, even though we have set the DNS still it's not working.

  3. Any feedback on this reason of failure?

    (reason: 4.3.2 Persistent Transient Failure: System not accepting network messages)

    1. The code “4.3.2” means “System not accepting network messages”. Examples of such conditions include an immanent shutdown, excessive load, or system maintenance. This is telling you that the receiving system is having internal problems.

  4. Anyone know what NetSuite status "Persistent Transient Failure: Routing server failure" means?
