Netsuite's SuiteAnalyics - Dataset and Workbook
Hello Dear Reader,
Previous to 2020.1, user can define, visualize , analyze workbook source data in a single workbook object.
As of 2020.1, Netsuite separate workbook and datasets.
In a dataset, user define workbook source data by selecting record types, fields, and criteria for further analysis in a workbook.
Currently data can be visualized in tables, pivot tables, and charts formats. Only dataset owners and users with administrator permissions can edit the datasets in account. User can create new Dataset as well as use existing dataset to create workbook.
As we mentioned dataset and workbook, you might be interested in knowing more about them. Netsuite releases new tool Suite Analytics, it has two part:
1. Dataset : Dataset , as name suggest, set of data which is on record type you want to make analytics/report.
Example: if you want to search in sales order then create Dataset on Sales Order and include all possible fields and joins you want.
Path: Click on Analytics Tab > workbooks > New workbook,
2. Workbook: Workbook is actual report or visible format based on Dataset selected. User can select all fields as column or select only required fields.
Path: Click on nalytics Tab > Datasets > New Dataset.
Point to Note: If you want to use workbook in Script , you have to add internal id column for each Drop Down field, ex: Department need another column as Department Id as use internal id of department.
Useful points:
There are thousands of things which we can discuss about workbook and dataset but to keep it short and useful we will focus on important points only. If you have any query which we are not covering here, please feel free to comment here or use of FB page/group.
1. You can modify name , id , description etc using button on the page.
2. Use search to find field you need, you can also use join to show data from other records also.
3. User can also write formula and show it as column.
4. User can use existing dataset as well as create new dataset.
5. There are 3 type of visualization allowed as of now
6. User can only see datasets or can make data sets on records , if user is allowed or have access to base record type. Dataset and Workbook follow standard access rules.
7. As of now time out is of 90 minutes.Please close Dataset/workbook window if you are not using it.
8. Use drag and drop to add columns.
9. To add filter use vertical 3 DOTS to expand options and add filter. refer image
10. To sort column use vertical 3 DOTS and sort ASC or DESC. .refer image.
11. User can share dataset and workbook to individual user as well group of people based on roles.
Please note, receipts of shared workbook and dataset can not edit or change associated dataset.However they can create their own version using associated dataset.
